JOB DESCRIPTION

UNI-Commons offers linguistically sensitive and culturally responsive counselling and family services to enhance the functioning and the quality of life of individuals and families.

Position Title:  Summer Student – Administrative Assistant

Position Type:  Temporary Full-Time from Summer 2024 till September 2nd, 2024

Position Hours Commitment:  280 hours x $15.5 per hour

Supervised by: Operation Manager or her Delegate

Responsibilities

  • Provide office administrative support to the agency
  • Greet clients; answer, screen and direct telephone calls
  • Enter and verify information or data in existing formats or databases
  • Maintain documentation & filing of Health & Safety Policy and other administration duties as required
  • Assist updates on social media and marketing materials and program outreach
  • Provide support, create posters and materials for activities and events
  • Prepare auditing package for agency’s upcoming accreditation process
  • Attend meetings as needed, takes minutes and circulates minutes
  • Photocopy, scan and upload documentation, send and receive fax or email as requested
  • Assist with inventory database setup
  • Perform any other related duties as requested

 

Qualifications & Skills

  • As required by the Canada Summer Job program, applicants have to be 15-30 years of age.
  • Completed a secondary, post-secondary, vocational or technical educational program.
  • Preference given to students in social service, non-profit, or related field at the post-secondary level.
  • Have a basic understanding about governance, finance, human resources, proposal development and policy development.
  • Proven ability to exercise high level of confidentiality
  • Fluency in Verbal & Written English and Chinese (Mandarin and/or Cantonese). Vietnamese an asset.
  • Proficiency in MS Office software programs and usage of Internet.
  • Excellent communication, interpersonal, and time management skills.
  • Ability to work independently and as a team member.
  • Willingness to work days / evenings, and occasional weekends as required.
  • Clearance from a Vulnerable Sector Police Screening.

  • Provide support in updating new branding materials, review and update administrative and clinical polices for agency accreditation.
  • Support for Joint Health & Safety Committee.
  • Attends committee meetings as needed, takes minutes and circulates minutes.

  • Photocopy, scan and upload documents, send and receive fax or email as requested.
  • Provide support for onsite activities/seminars/workshops, and outreach activities; develop educational and promotional materials; update information on resource list
  • Perform any other related duties as requested.

  • Able to operate basic office equipment (telephone system, photocopier, etc.)
  • Proven ability to exercise high level of confidentiality.
  • Fluency in Verbal & Written English, plus Mandarin and/or Cantonese. Vietnamese an asset.
  • Proficiency in MS Office software programs and usage of Internet.
  • Excellent communication, interpersonal, and time management skills.
